Indexing Emails

You can search the contents of your emails and their attachments. In the Options window, the Emails & Organizer tab displays the mailboxes or email folders that can be indexed. You can index the entire mailbox or a part of it.

To index your mailbox:

    • In the Tools menu, click Options...
    • Select the Emails & Organizer tab.
    • Open the root of your mailing program and select the mailbox you wish to index (subfolders will be selected automatically).
    • Click Back to main view or Escape key to confirm and close the Options window.

To index a part of a mailbox or a specific email folder:

    • In the Tools menu, click Options...
    • Select the Emails & Organizer tab.
    • Open the desired mailbox and select each folder individually. Remember that subfolders will be selected automatically
    • Click Back to main view or Escape key to confirm and close the Options window.

Indexing Contacts

The Contacts category allows you to search for information that is stored in the Contacts folder of your computer. The Contacts folders are your email address book and information storage for people and businesses you want to communicate with.

To specify which contacts folders to index:

    • In the Tools menu, click Options...
    • Select the Emails & Organizer tab.
    • Open your mailbox tree structure.
    • Select one by one the contact folders you want to be indexed.
    • Click Back to main view or Escape key to confirm and close the Options window.

Indexing Organizer Items

The Organizer category allows you to search for tasks, calendar items and notes available in Microsoft Outlook®.

NOTE: THIS OPTION IS ONLY AVAILIBLE IF THE MICROSOFT OUTLOOK EXTENSION IS ENABLE IN THE EXTENSIONS STORE.

To specify which Organizer elements to index:

    • In the Tools menu, click Options...
    • Select the Emails & Organizer tab.
    • Specify which tasks, notes or calendar folders you want to index by selecting the corresponding check box under the appropriate Microsoft Outlook® mailbox.
    • Click Back to main view or Escape key to confirm and close the Options window.

Indexing Microsoft Personal Storage Tables (Offline PST)

The Personal Storage Tables (PST) category allows you to search emails, contacts and organizer content inside offline PST files. This option is usefull when Microsoft Outlook® is not installed on computer or when some PST files are not mounted in  Microsoft Outlook® .

NOTE: THIS OPTION IS ONLY AVAILIBLE IF THE MICROSOFT OUTLOOK EXTENSION IS ENABLE IN THE EXTENSIONS STORE.

To specify which PST elements to index:

    • In the Tools menu, click Options...
    • Select the Emails & Organizer tab.
    • Click on the Add PST file button and select an offline PST in the opened window.
    • Specify which mailbox, contact, tasks, notes or calendar folders you want to index by selecting the corresponding check box under the appropriate Microsoft Personal Storage Table (PST) mailbox.
    • Click Back to main view or Escape key to confirm and close the Options window.

To remove a PST file from index:
    • In the Tools menu, click Options...
    • Select the Emails & Organizer tab.
    • Inside the Microsoft Personal Storage Tables (PST) node, select the pst file you want to remove.
    • Click on the Remove PST filebutton.
    • Click Back to main view or Escape key to confirm and close the Options window.
      Note: You cannot ADD A PST FILE THAT IS ALSO MOUNTED INSIDE MICROSOFT OUTLOOK® . IF THE PST FILE IS AVAILABLE IN MICROSOFT OUTLOOK® , YOU NEED TO USES THE OUTLOOK® INDEXING FEATURE INSTEAD OF THIS OPTION.
      NOTE: You might need to close OUTLOOK to remove PST FILES that are already open by outlook and CDS.

      Exclude Email Folders from the Index

      You can search the contents of your emails and their attachments. In the Options window, the "Emails & Organizer" tab displays the email folders that can be indexed. You can index the entire mailbox, or only part of it. Hence, email folders can be added or excluded.

      To exclude an email folder:

        • In the Tools menu, click Options...
        • Select the Emails & Organizer tab.
        • Open the Tree and uncheck all mailboxes or folders you want to exclude.
        • Click Back to main view or Escape key to confirm and close the Options window.

      Note: You cannot exclude a single email, only email folders.
